The Associate - Property Manager will be reporting to the Real Estate Team Manager. The incumbent will contribute to the front line team by providing a world-class client experience whilst focusing on property management services connected to property sales and leasing.


Main Responsibilities
- Enhanced Client Experience from first point of contact.
- Ensure consistent self-development with knowledge of the Maltese property market.
- Acquire time lines and requirements from all visiting clients.
- Co-ordinate and liaise with local service providers for property management.
- Liaise and coordinate inventories/property inspections, making sure all properties onboarded are to Henley clients' standards.
- Liaise and coordinate clients' arrivals whilst staying in their leased/purchased properties and assisting with any property issues during their stay.
- Coordinating maintenance issues with landlords and or contractors according to the property agreements.
- Source services and properties according to client requirements.
- Understand property management requirements and tailor solutions that offer excellent value.
- Interface with key stakeholders through multiple channels; mail correspondence, telephone and email to ensure enhanced service delivery.
- Deliver a diligent and timely service that will require flexibility to address tasks outside of your core role as and when they arise.
- Oversee the termination process for property leases, ensuring all necessary documentation is completed and the property is successfully handed over.
- Conduct annual reconciliations of utility accounts with landlords to ensure accurate billing.
- Coordinate and oversee all aspects of internet installations, from initial scheduling with clients and providers to on-site attendance to ensure successful setup.
- Maintain and update client files for all purchased properties, ensuring data accuracy and compliance.
- Generate and issue invoices for all renewed agreements, ensuring timely and accurate billing.


Key Skills and Experience
- Client relationship or client-facing experience, customer service.
- Maltese and English Language Speaking and Writing skills.
- Client Hosting and relationship-building skills.
- An ability to recognise and respond to diverse thinking styles, learning styles, cultural qualities and a global mindset.
- Working on own initiative whilst part of a young, energetic team in a fast-paced environment.
- 1 - 2 years of experience in property management or a similar environment.
- PC Literate-Extreme attention to detail.
- Driving License.
- Knowledge of Maltese roads and towns is a must.
- Basic knowledge of local property building structures/procedures, e.g., Water & Electricity systems.


Personal Qualities
- The ability to build and maintain lasting relationships with both internal and external clients is essential, whilst being expected to work alongside local service providers, real estate agents and developers.
- A strong work ethic and the ability to address multiple tasks in a short time frame and to meet strict deadlines are required, as is a general understanding of the workings of the Company and the property market in Malta.
