The role is tasked with effectively and efficiently coordinating the Managing Partner's personal and professional schedule. This job includes tasks such as using CRM and assigning leads, working closely with the managing partner, booking his travels, helping with the expenses, being someone very efficient and having major attention to detail, being an operational thinker, etc.

Responsibilities:

  • Conserve the executive’s time by drafting correspondence, analyzing information, and managing communications. Act as a key liaison to senior leadership, coordinate executive and external relations, and oversee special projects.

  • Manage a highly active calendar, planning both personal and professional meetings and events. Handle all logistics, including venues, equipment, and catering.

  • Research and prioritize incoming issues for the Managing Partner, including sensitive or confidential matters. Recommend appropriate actions or responses.

  • Facilitate smooth communication between the Managing Partner and internal teams, maintaining credibility and trust with senior management.

  • Work closely with the Managing Partner to track commitments and follow up on responsibilities as needed.

  • Build and maintain relationships critical to the organization’s success. Lead and manage high-impact special projects.

  • Take a hands-on approach to key deliverables, including drafting acknowledgment letters and confidential correspondence, as well as formatting and editing information.

  • Manage competing priorities efficiently and proactively. Ensure timely completion of deadline-driven projects.

  • Arrange complex travel plans in line with company policy, managing itineraries, agendas, and cost-effective logistics. Prepare travel documents and handle post-travel reconciliations, including expense claims.


Requirements:

  • At least 2 years of experience as an Executive Assistant supporting C-level executives in a fast-paced, deadline-driven environment

  • A relevant tertiary qualification in Executive Assistance and/or Project Management is a strong advantage

  • Minimum of 3 years of administrative or project coordination experience

  • Advanced proficiency in the full Microsoft Office Suite

  • Exceptional communication skills to engage with industry stakeholders - full English proficiency is required.
