Job Purpose
Acting as ambassador of the firm with both internal and external stakeholders, the successful candidate is required to offer a level of hospitality that meets and exceeds our clients’ expectations, whilst providing ideas about amenities and experiences, organizing and tracking all service requests.
Responsibilities:
- Act as an ambassador of the firm with internal and external stakeholders.
- Maintain the concierge teams' admin upto date by ensuring all new data is input in designated folders and saved accordingly.
- Ensure that all services requests are tracked and seen to, responding to clients efficiently.
- Provide support and organize services during client visits that offer a level of hospitality, which meets and exceeds our clients’ expectations.
- Manage itineraries and reservations for clients when required, ensuring that the appropriate agreements are in place and services have been paid.
- Manage, maintain and create new relationships with service providers to enable an adequate portfolio of services which are made available to clients.
- Handle emergency situations in a solution-focused manner.
- Interact with key stakeholders through multiple channels; mail, telephone and e-mail to ensure enhanced service delivery.
- Act as a trusted advisor to our clients, thus contributing positively to the overall client experience.
- Work as part of a team in delivering a diligent and timely service that will require flexibility to address other tasks outside of the core role as and when they arise.
- Focus on personal development through learning more about the different areas of the business by means of interaction and collaboration.
- Fluent in the English language. Maltese and additional languages will be considered an asset.
- Minimum of two years' officework experience within the event, travel agency or hospitality industry.
- Experience in Microsoft Word, Excel and PowerPoint.
- A positive solutions-oriented attitude complemented with a high level of integrity, to facilitate the business in a compliant manner.
- Previous sales experience will be considered an asset.
- An ability to recognize and respond to diverse thinking styles, learning styles, cultural qualities and a global mindset.
- Possessing immaculate communication, organizational and presentation skills.
- The ability to build and maintain lasting relationships with service providers, internal stakeholders and external partners is essential, whilst being expected to carry out general business administration accurately and consistently.
- A calm but strong work ethic and the ability to address multiple tasks in a short time frame.
- Flexibility to ensure that requests out-of-office hours are also seen to.
