The Executive Assistant role is responsible for effectively coordinating the personal and professional schedule of the Middle East Regional Head, providing executive support in a one-on-one working relationship and acting as a key point of contact for internal and external stakeholders.


Responsibilities:
  • Manage the ME Regional Head’s calendar, coordinating personal and professional meetings, events and related logistics.
  • Coordinate all travel arrangements, including flights, accommodation, itineraries and other travel-related logistics, as well as manage expense reports and post-travel reconciliations.
  • Draft correspondence, gather information, handle incoming matters and act as a liaison with senior leadership and internal teams.
  • Provide support with the ME Regional Head’s email inbox to a certain extent, including monitoring incoming messages, identifying and flagging important or urgent matters, and assisting with routine correspondence when required.
  • Follow up on the ME Regional Head’s commitments, priorities and deadlines, ensuring tasks and projects are completed efficiently.
  • Attend meetings with the ME Regional Head where required, taking notes, recording key action points and ensuring appropriate follow-up. Support with the preparation of presentations and other meeting materials when necessary.
  • Maintain and update the CRM system, ensuring that relevant information, activities, follow-ups and records are accurately and consistently recorded.
  • Support the management of the ME Regional Head’s professional social media presence, particularly LinkedIn, including managing and coordinating social media activities and ensuring information is kept up to date where required.
  • Handle occasional administrative communication with clients, limited to informing them of bureaucratic or logistical matters when necessary.

Requirements:
  • Relevant tertiary qualification in Executive Assistance, Business Administration and/or Project Management is advantageous.
  • Minimum 3 years’ experience in an Executive Assistant / Administrative Assistant role supporting Executives in a fast-paced environment.
  • Proficiency in the full Microsoft Office Suite at an advanced level.
  • Excellent English communication skills, both verbal and written.
  • Experience with CRM systems and professional social media - platforms, particularly LinkedIn, would be advantageous.
  • This is a fully office-based position and requires the successful candidate to work from the office 5 days a week.
