The Executive Assistant will provide high-level executive support to members of the Executive Committee. Working alongside other assistants, the role supports scheduling, travel coordination, stakeholder management, and holiday coverage in a collaborative and fast-paced environment.


Responsibiities:

  • Manage complex and dynamic calendars, coordinating meetings, events, and travel arrangements for members of the Executive Committee and senior leadership
  • Support the smooth day-to-day running of executive activities through effective coordination, stakeholder management, and collaboration with colleagues, including holiday coverage as required
  • Prepare, draft, and manage correspondence, presentations, reports, and other confidential documentation with a high level of accuracy and discretion
  • Act as a key liaison between members of the Executive Committee, internal teams, and external stakeholders, ensuring efficient communication and follow-up on priorities and sensitive matters
  • Coordinate expense reconciliations in line with company policies
  • Support cross-functional projects and executive initiatives, managing competing priorities in a proactive and solution-oriented manner

Requirements:
  • A Bachelor’s degree (or equivalent qualification) is required
  • Minimum 5 years experience in an Executive Assistant role supporting C-Level Executives with many interruptions and short deadlines
  • Minimum three years admin or project related experience 
  • Proficiency in the full Microsoft Office Suite at an advanced level
  • Excellent English communication skills, both verbal and written (additional languages are an advantage)
  • Strong organizational skills and decision-making skills
  • Strong attention to detail and accuracy of deliverables
  • Dedicated to the completion of tasks and meeting deadlines
  • Needs to be flexible and adaptable to keep abreast of ever changing demands
  • Strong interpersonal skills with an ability to work closely and collaboratively with various business units at a senior level
  • Exposure to an international environment advantageous

Although the role is remote, the candidates need to be authorized to work in Portugal and located in the Lisbon Metropolitan Area.
